Clouds Grow Greener Options for Nonprofit Associations

06/04/2012

What’s in a cloud? A few years ago you might have answered rain, snow or sleet.  But today, clouds hold data, software, applications, and files of all shapes and sizes. Of course we’re talking about two kinds of clouds here but while the former makes your garden grow, the latter can help grow and green your association’s bottom line.

As a tech savvy association professional you’ve probably used cloud-based products before. Maybe you use a file-sharing site or a wiki to collaborate with team members, both great ways to improve workflow and efficiencies. If you’ve ventured into the cloud already, you’re at the leading edge of a growing trend.

A recent forecast in Cisco Global Cloud Index: Forecast and Methodology, 2010-2015 estimates:

  • Annual global cloud IP traffic will reach 1.6 zettabytes by the end of 2015.
  • Global cloud IP traffic will increase twelvefold between 2010 and 2015.

Sowing the Right Seeds:  To truly harness the power of the cloud, consider investigating software as a service (SaaS) and platform as a service (PaaS) systems when making your next business software purchase.  These powerful computing environments have the ability to reduce costs and streamline processes, allowing you to focus on what you do best, providing great programs for your members. SaaS and PaaS systems provide the same functionality as the software that you purchase and download onto your computer. Cloud-based systems can manage your member database, help you run events, or streamline your accounting processes.

The on-premise software you buy in a box or download with a license frequently comes with functions and features that are irrelevant to your organization.  You pay a hefty price for that license and often have to ante up again for upgrades or to purchase a second or third license for other computers.

With cloud-based software, you buy only the elements you need.  In addition, many PaaS providers offer configurable products that allow you to tailor the software to the changing needs of your association. Plus, customer feedback helps the software provider make product improvements, and those function and feature upgrades happen seamlessly.

Pricing is more flexible for cloud-based software as well.  Some SaaS providers have a fee for monthly service. Others base fees on the number of members in your database or the volume of data storage you need. Again, flexibility is the operative word here.

Capital investment in software becomes a thing of the past with SaaS and PaaS products.  Start-up costs are extremely low, and the subscription-based fee structure shifts costs to operating expenses.

Seeing Green Immediately

It costs money and staff time to purchase, install, update and maintain on-premise software. Cloud-based SaaS and PaaS systems reside in remote servers that house data from many organizations all using the same software or platform. Like distinct businesses all sharing the same office building, sturdy walls and locked doors separate each organization’s data but the responsibility (and cost) for maintaining the building — providing security, electricity and running water, and making upgrades when necessary — are transferred from your IT budget to the software vendor.

Reaping the Benefits

With cloud-based systems, your association reaps the rewards of world-class infrastructure, a secure data center with supplemental power sources, and automatic backups so your files are always there.

Saas and PaaS systems can begin working for you quickly. Cloud-based products typically have a shorter implementation time than traditional software, which means you’ll be benefiting from cost savings and productivity efficiencies sooner.

Your files are accessible from anywhere you are. As long as you have an Internet connection, a mobile device or computer, and the login authorization, you can view, review and share your data whether you’re on a business trip or snowed in at home.

The Other Kind of Green

Cloud computing is also a sustainably greener choice for many associations. SaaS and PaaS eliminate the need for energy hungry servers to be housed on site. The computers used to run cloud-based software can be smaller as they no longer need to store large files or run complex programs.  Not only do smaller computers cost less, they are more efficient and use fewer resources.

Depending on the cloud software you choose, the application can eliminate the need for reports that must be laboriously printed, collated and bound.  Instead, users can share reports electronically. No more paper and ink required.

Silver Lining

Perhaps you gulped a bit, thinking of your data sharing space in a multi-tenant cloud. Security should definitely be a consideration as you evaluate cloud-based SaaS and PaaS systems. Every industry has standards and guidelines that should be closely followed by the software provider.

As a financial technology company, securing our customers’ data is our top priority.  After all, our reputation and our business depend on it.

In the accounting industry, SSAE 16 Type II Certification is the gold standard for security measures and controls.

We also adhere strictly to PCI Data Security Standards. The payment card industry’s Security Standards Council developed these standards for merchants, vendors and security consulting companies to mitigate data breaches and prevent payment cardholder data fraud.

In a Nutshell

The next time you’re considering making a change to the software programs that help you run your association, broaden your search to include cloud based SaaS and PaaS systems. You may find a cloud-based software solution that not only meets your business needs but also:

  • Saves on IT costs,
  • Gives you more flexibility at a lower price,
  • Updates and upgrades seamlessly,
  • Reduces energy consumption as well as paper and ink,
  • Allows you access to your data anytime, anywhere.

Best of all, it will give you more time and resources to focus on your members.

You just might become your association’s hero of the month.

Billhighway at the White House (Again!): CIO Steve Robert Attends White House Signing of JOBS Act Today at Rose Garden Ceremony

04/05/2012

Photo by Steve Robert, in attendance at April 5, 2012 Rose Garden Signing Ceremony.

For the second time this year, Billhighway is in attendance at the White House.

Billhighway’s CIO Steve Robert was invited to witness President Barack Obama sign the long-awaited Jumpstart Our Business Startups (JOBS) Act at a signing ceremony in the Rose Garden.

Earlier this year, Billhighway CEO Vincent Thomas participated in a conversation on jobs and the economy as led by the White House Business Council and Business Forward.

About the JOBS Act

The newly crafted legislation is designed to spur investment in the nation’s emerging growth companies.  Highlights of this new bill include:

  1. Easing the initial public offering (IPO) process for “emerging growth companies” and reducing their regulatory burden.
  2. Improving the ability of companies to access capital via private offerings and small public offerings without Securities and Exchange Commission (SEC) registration.
  3. Allowing private companies with a substantial shareholder base to delay becoming a public reporting company.

Steve is part of Startup Michigan’s regional leadership team, a regional implementation of Startup America Partnership, the national effort dedicated to helping startups grow and jumpstart job creation throughout the country.  Through Steve’s involvement, the White House felt Billhighway exemplified the purpose and promise of the new bill and invited Steve to attend the historical signing, including remarks from the President.

Startup America

Startup America is a White House initiative that was launched to celebrate, inspire, and accelerate high-growth entrepreneurship throughout the nation.  Leaders in the private sector launched the Startup America Partnership, an independent alliance of entrepreneurs, corporations, universities, foundations, and other leaders, joining together to fuel innovative, high-growth U.S. startups. Within just one year, the Partnership has mobilized to make over $1 billion in business services available to a national network that will serve as many as 100,000 startups over the next three years.

Many congratulations to Steve on his efforts, and this distinct honor.  Learn more about Startup America here.

Is Time on Your Side?

04/03/2012

What would your nonprofit organization do if you had more time on your hands?

Many of the nonprofit groups, associations and organizations we talk to find it challenging to meet their many responsibilities in a given week.

From developing and running member programs and services, to soliciting funding sources, nonprofit leaders face a time crunch in terms of getting it all done.

Cut the Crunch

An effective strategy to avoid the time crunch is to take wasted effort out of your organization’s financial management and accounting.

By streamlining financial management and eliminating duplicate data entry and manual handling, organizations using Billhighway divert more time and resources toward mission-related programs.

In fact, we’ve found that organizations typically shorten transaction-related processing time by 30 percent.

Working Smarter

Billhighway removes the need for duplicate financial data entry into multiple systems.

Staff members save time and effort, letting them better serve the organization with more meaningful tasks such as overall strategy management.  This lets nonprofits do more without adding resources.

After all, your priority as a nonprofit is to deliver on the promise of your mission.

How Safe & Secure Are Your Passwords, Really?

03/21/2012

Password securityIs your nonprofit organization safe from unauthorized access to your IT systems?   The answer relates directly to the security of user passwords.

We at Billhighway recently read about this critical security issue in CNN Money, and were interested to learn that one of the most common password used on business systems is “Password1.”

Hackers love passwords like this, because they are easy to crack.

In fact, a recent survey revealed that over 5% of passwords involve a variation of the word “password.”

Intrigued? Horrified?  Then take a moment and read “If You’re Using ‘Password1,’ Change It. Now.

More Resources

The IT industry publication InformationWeek recently provided useful tips about password security policies.  The article makes the following point, especially relevant to resource-challenged nonprofits:

“Smart password practices require next to no budget. They don’t need to take up much time, either, especially once your policies and procedures are in place.”

The article poses a great question:  how often do you require users to change their passwords? Smart nonprofits should set a policy of having users change passwords on a quarterly basis.

So be smart, take a hard look at password security at your non-profit organization.

Then, to be safe and secure, take the time to set some policies.

Billhighway CEO Joins Conversation on Jobs at White House

02/09/2012

TROY, Michigan (February 9, 2012) – Billhighway CEO Vincent Thomas will participate in a conversation on jobs and the economy to be held at the White House on Friday, February 10, 2012.  Led by the White House Business Council and Business Forward, the conversation will focus on how the Obama Administration and the Detroit business community can work together to create jobs and grow the economy.

“Innovation, customer service, and a focus on financial health and efficiencies have been the linchpins of Billhighway’s success as a company,” said Thomas. “I’m looking forward to sharing the Billhighway story and my thoughts on creative, strategic ways non-financial institutions can improve financial operations for nonprofits and member-based organizations.”

According to the event’s organizers, feedback from sessions with other business groups have had a direct impact on the Administration’s business policies and on the President’s efforts to improve job growth nationally.  Results have included tax cuts for business owners, hiring incentives, and programs that help small businesses make the most of federal resources.

“I’m glad that the Administration is looking for ways to help businesses like Billhighway grow,” said Thomas. “But in many cases, what high growth businesses need most is for government to get out of the way and let us do what we do best.  Extensive regulations and too much oversight can put a damper on growth.”

Thomas will be tweeting throughout the conference, which runs from 2 to 6 p.m. on Friday afternoon. Follow the conversation on Twitter @billhighway. A more comprehensive discussion of the topics discussed at the conference will be posted on the Billhighway Blog at http://blog.billhighway.com/.
